Old Business
Proxy voting: A proposal was discussed last month to allow proxy votes
for contested offices by mail only.
Question was raised, can we allow true proxy (send another person to vote
on your behalf)? This is not approved by the Society, and it was decided to
allow only mail-in votes.
The subject has now been renamed to Absentee votes, which is a more accurate
description of the process.
A discussion was held about allowing absentee votes on expenditures over
$500.00. It was decided that it makes the process too complex, most votes
will be done at the meeting in person. The general consensus was to deal with
the issue on a case-by-case basis.
New Business
Vote taken for new Herald. Lord Harold moved and Lady Andrea seconded accepting Sofia as the new herald. Vote taken, measure approved. Sofia is our new herald.
Discussion of giving a donation to MEMEC, who lets us use the facility pretty much as much as we like for no fee. Its been a number of years since we last donated something, so it seems appropriate to do so again. This Shire is lucky to have a facility that is so available and cost-free.
Damiean moved and Lady Fiona seconded that we donate $1,000.00 to MEMEC. The motion passed.
Lady Bridget of Longwood was awarded her AOA. Congratulations, Lady Bridget!!
The discussion returned to absentee ballots. There are three possibilities: No absentee ballots; limited to contested offices; and case by case. Lord Harold proposed that we start out by using mail-in ballots for contested offices only, and evaluate what happens. Damiean seconded the motion. It was passed. For now, absentee ballots will be accepted by mail for contested offices.
The Exchequer Symposium is January 16th at MEMC
The Hafla is January 15th at MEMC. We are asking for volunteers, please contact Thora or Val.
The Boredom War is going to be May 20-22 at Singletary Rod and Gun Club, the same location it was last year.
There is a Girl Scout demo planned for March. Toi mentioned that Balthezar the hawk is really excited about it, he was present to confirm that. It is a father-daughter dance. It takes place in a large room that serves as a gym/cafeteria combination. The theme is Renaissance, a bit past our main era but it will still be exciting to the participants. It will take place on March 19th, and we hope to have some fighters and fencers as well as members in garb present at the event. Toi passed around a sheet for people to sign up for the demo. She is extremely skilled and efficient at this kind of thing!
Les Jeux: The possibility of hosting it again was discussed. The Shire has not made a bid yet. The Equestrians will probably decide on the final outcome. In order to have Les Jeux, well need to have an autocrat to run the event. Bids will have to be submitted. No action was taken at this meeting.
Theres a request from the Barony of Stonemarche to have volunteers for the gate at Birka. It is suggested that if youre interested in attending, you should reserve your place in advance (pre-register).
